How to Collect Match Fees From Players (Without Being the Bad Guy)

10/7/2026 · 5 min read

Match fees are the most common recurring cost in amateur sport — and the most hated to collect. Not because players won't pay; because remembering who paid what is unmanageable over a season.

Put the fee in the fixture

When a match is created, the fee should already be visible. 'The fee is whatever we collect' is how fees become personal loans. A named number attached to the fixture is a fact; an afterthought is a negotiation.

Collect after selection, before or on match day

Two models work: collect on arrival (cash/digital), or collect after the squad is final (whoever was marked available and showed). The rule that matters: record it in the ledger the same day — collection and bookkeeping are different events.

Handle no-shows and guests

Decide in advance: no-shows usually still owe their share (they cost a slot); guests pay like everyone else — through the member who brought them. Exceptions (genuine emergencies) are the manager's call — that's why they're a manager.

Track visibility instead of reminders

A visible balance does more than any reminder message. When players can see their running match-fee balance and everyone else's, collection stops being a hunt and becomes a queue.

FAQ

How do I collect match fees from players?
Set the fee on the fixture, mark who's in, collect on or before match day, and record payments in a shared ledger — a team app like Team Manager computes who owes what.
Should guests pay match fees?
Yes — their share is usually covered through the member who added them, keeping the ledger simple.
